Many of you have wished that you could manage documents together. The latest order form should be easily accessible to all colleagues, your partner's payslip should also be included in your joint tax return, the electricity bill should also go to your flatmates and your tax advisor needs more than just one document. At the same time, it is important to you that security is also guaranteed with this form of collaboration. We have thought about all this and have a proposal that we present to you today. Up to now, fileee has mainly been used to manage your own documents. Files are scanned, imported, analysed and sorted. If someone else needs one of your documents, you can simply share the file via a link.
Now fileee is evolving into a shared place for documents. Our solution is to introduce Spaces to fileee. A Space is a place where you can share, manage and edit documents with family, friends and colleagues. A Space is created when you share a document with several of your contacts. Everyone can access the document together and can also share files with the group. If you subsequently change something in the document , you only have to do this once and all groups with which the document is shared can see the change. This means that if you subsequently correct the title of your invoice, this will also be visible to your groups. And if one of your friends marks the invoice as paid, this also appears directly in your archive. The document is still in your archive all the time. All others only have access rights to your files, and you can individually determine whether someone can only read or also edit the documents. If the collaboration is terminated, the other participants in the group have no read or edit rights. No one else has access then.
An example for the use of fileeeSpaces arises in your company. You already use fileee in your company with 12 employees. Invoices, contracts and e-mails arrive at the company every day. fileee professional collects the documents in the central fileee account, sifts them and then releases them in groups for the relevant employees. They use the documents together and consult each other conveniently via the chat function. In this way, all employees receive the relevant documents together, while they remain stored simultaneously in one central location.
Many of you have explicitly requested a feature for the family. With fileeeSpaces you can now set up a space for the whole family. Your partner and your children or siblings can share their bills and contracts with everyone and you can easily keep track of all documents. At the same time, you also promote the independence of your children, as they learn to handle their documents themselves and always have them at their disposal. With automatic sharing via tags, you can also ensure that you always receive all the information.
Another use case is with your tax advisor. You no longer want to send every document by post or email, but would much rather do everything in the app. With fileeeSpaces you can simply create a group for you and your tax advisor and share all relevant documents there. Your tax advisor can look through them and comment on them easily. And what happens to your data if you change your tax advisor or decide to prepare your tax return yourself? As soon as you close the group, all access rights to your documents expire for everyone else.
In our last scenario, we deal with students. Tom lives in a shared flat with two flatmates, Miriam and Alex. All three have been using fileee to sort their paperwork for a long time. The annual electricity bill is due again and comes to Tom by post. Tom scans the bill, archives it and shares it with the flat-sharing group on fileee. Miriam and Alex see the amount they have to pay and write in the group that they have transferred the money. Tom marks the bill as paid and everyone knows. Shortly afterwards, Miriam goes shopping. She buys toilet paper, washing-up liquid and a new shower curtain for the bathroom. At the same time, Alex goes shopping for the weekly communal cooking. Right at the checkout, they scan the receipt and load it into Space. At the end of the month, all three sit down together, go through the receipts and settle up.
With fileeeSpaces you can send and receive information easily and clearly to a defined group. Your data always stays with you. fileeeSpaces is the next step to end your paperwork. Because how often do we really need a document just for us? In which situations will you use fileeeSpaces? Let us know here, on Facebook, Twitter or by email what you think of the new feature, what information you still need and vote on how you would use fileeeSpaces!
