Every day, we at fileee receive suggestions and requests from you on how we can make fileee even better. One of the most frequent questions was whether fileee can also be secured with two-factor authentication. Since your feedback is extremely important to us at fileee, we have been working full steam ahead on implementing two-factor authentication over the last few months and are now happy to go live with it. In addition to other updates, such as an improved text selection in our web app, we have also developed a workaround to be able to connect fileee to GoogleMail again.
In principle, 2FA uses two different and independent components to encrypt access to accounts with particularly sensitive data and thus increase security. Often, a physical object (e.g. a bank card or a terminal device) and a password are used for this purpose. But biometric data such as fingerprints or Face ID are now also supported by many systems. This type of proof of identity via two authentication factors offers increased protection, as simply cracking the password for access would no longer be sufficient for a potential attack on the account. For 2FA at fileee, your account is additionally protected via a two-factor authentication app. In order to access fileee in the future, you must enter a one-time passcode (OTP) in addition to your user name and password when 2FA is activated. This is generated in the app on a previously linked device. The six-digit OTP changes every 30 to 60 seconds, depending on the app, and thus offers an extremely high level of security.
You can use fileee 2FA with most time-based applications with a one-time password, such as Google Authenticator, Duo Mobile, Authy or similar apps. After you have downloaded such an app, go to the "Security" tab in your fileee web app under "Settings" and select the option to set up two-factor authentication. You can then scan the QR code shown with your smartphone and the opened authentication app, or enter the displayed authentication code. Then enter the 6-digit code displayed in the app for verification in the web app and save the whole thing.
Important! Never delete the field with the code from fileee in the authentication app, because after completing the configuration you will have to enter a code from the app every time you log in to fileee, and this code will always be regenerated there.
Here you can find the Google Authenticator App for iOS and Android
There have also been some changes to our web app. Besides fixing a few small bugs, the biggest improvement is the new text selection. The text you select is now visibly marked. Thanks to our free OCR technology, which recognises the text of all your scanned documents as such, you can also copy the marked content and paste it where you want, e.g. in the TextEditor.
You have probably already noticed: The synchronisation of Gmail and Google Drive with fileee does not work. Unfortunately, due to updated Google security policies and a regularly expired certificate, we had to remove Google Drive and Google Mail synchronisation from fileee. We are very sorry about this, as we know that these services are extremely important for you to work with fileee. At least for Gmail we have found a way to connect this to the fileee via the default IMAP settings. You can find detailed instructions for this in our helpdesk.
Unfortunately, there is no workaround for Google Drive. Although we follow all the best security practices, the certificates will have to be renewed in a long and extremely costly process. We are already working on its implementation and hope to be able to fully offer Google Drive and the Gmail connection again as soon as possible.
