fileee is a service for managing private documents - whether digital or paper. With the apps for iOS and Android, paper documents can be digitised, uploaded and are always with you. With the web app, already digital documents can be imported from mail, cloud and hard drive. Thanks to the intelligent analysis, paperwork is done much more effectively. fileee displays important information, helps to organise the documents sensibly and clearly and finds everything again quickly.
fileee has been around for 3 years now. What is the basic idea behind fileee?
Marius: We want to establish a completely new way of managing documents - a revolution for private paperwork.
Where do you see the potential for revolution?
Marius: Let's face it, paperwork is not really fun for anyone. In the last 10 years, it has become even more complicated: Today, everyone has the problem that documents are in different places. Even if you file your paper documents neatly in a Leitz folder, documents from online shops and telephone providers are almost exclusively digital. Invoices are then in the customer centre, in the email inbox or on the hard drive on the PC - that's chaos! If you are looking for a certain document months or years later, you have to comb through the computer and various folders.
Couldn't I just print out digital documents and file them?
Marius: No, because the filed document is not the original. But most people's everyday document lives are simply different today than they were 10 years ago. The Leitz folder alone is no longer enough: Many people are professionally dependent on being able to access their documents from anywhere. For others, it is a matter of course to make full use of the technical possibilities. They want to make their everyday life more flexible and productive. These are all reasons for digitising paper documents. You can then view your important documents at any time and from anywhere. You can quickly forward them by e-mail to relatives or authorities. You can react to enquiries, deadlines or accidents more quickly and from any location. Of course, there are also documents and papers that you have to present and keep as originals. We will be offering a completely new product for this purpose, which will solve this problem in its entirety. It is very important to us that your paperwork is as simple as possible and that you can do everything in one system.
The digital documents are stored in the cloud. Aren't there justified reservations?
Marius: We all operate very frequently with sensitive data, with mobile and internet-enabled devices. This can be with a smartphone, tablet but also with a PC at home. You save some documents with a cloud service, you use an email service and apps. When it comes to the security of your data, you must always check the security regulations. You need to be confident that no one can access your data without authorisation and misuse it. Security is a big issue for us at fileee because we are dealing with private documents. That's why we are constantly looking at how we can protect user data and documents even better. This applies, for example, to our servers, our data encryption or security mechanisms to protect the app from unauthorised access. We also want to increase our users' awareness of security and data protection. Because you as a user can also avoid many risks.
How realistic is it to do most of the paperwork digitally?
Marius: We are constantly monitoring how feasible fileee is in everyday life. For fileee to work, certain functions must also be compatible with administrative offices. Can you even exchange a scanned receipt in a shop? Will companies and authorities accept a digital copy if you share it as a link from fileee? Of course, our users are interested in such tests. First and foremost, we are not only interested in optimising fileee. As I said before, the technical requirements and everyday document management have changed rapidly in recent years. Private document management has become more complex for many people. We want to promote a rethink among all those involved. On the one hand, for private individuals - What can you do differently to make your daily handling of your documents more effective and easier? But also on the side of companies and public authorities, something has to change in the handling of documents and customer service. How can administration be made more customer-friendly and easier? In the meantime, you can submit your documents digitally to many health insurance companies, public utilities and authorities. However, there is always room for improvement.
What possibilities are there for users to influence the development?
Marius: Our concept is based on our service meeting the actual needs of the users. That's why we have involved our users in the development process since the beginning. Our goal is that you will eventually be able to cover all activities related to annoying paperwork with fileee. That's why we depend on your feedback, of course. What do you want and need to do with your documents every day? Which functions do you really need? What do you think of our apps, functions and service? What wishes do you have? We also have phases in which we let some fileee users participate in the development of individual features. For example, we conduct surveys and tests that we announce on our blog or on Facebook.
