According to a BITKOM study from 2013, only about one in eight digitises their documents - but what's the reason? Neither the providers nor the technical devices to digitally archive your documents are lacking. With your smartphone and various scanning apps on the market, you actually have the tools to scan your documents and take advantage of digital document management. We believe that the market has ignored an important fact so far: There is still a need for archiving many originals!
Legal regulations and the hesitant behaviour of many companies and authorities in taking the step towards "digital administration" are the problem: users of digital document management are forced to maintain two different filing systems. This means more time and effort and negates many of the advantages of digital administration. And those who have traditionally archived their documents in Leitz folders see no benefit in digital document management.
To resolve this dilemma, we decided a year ago to add a scanning and archiving tool to our scan app: These are the fileeebox and the scan attachment.
Scan and file documents: You use the lid of the fileeebox as a scanning pad. It is provided with a barcode. After you have digitised your document with the fileee app, you place the original in the fileeeBox. During the scanning process, our app recognises the code in the lid. The digital copy in the app is then clearly linked to the original in the box. At the same time, the app determines the position of the analogue document in the box. In this way, the fileeeApp provides an exact overview of the contents of the box.
Search and find documents: If you need an original document later, the app shows you the exact position and height of the document within the box. If you use several fileeeboxes, the app tells you in which box your document is located. You can also use the app to virtually browse through your fileeeboxes.
The scan attachment completes your digital document management by speeding up the scanning process and maximising the quality of your scans. You use the scan attachment with your smartphone. An LED light creates perfect lighting conditions and the attachment ensures the correct distance to the document. As soon as the document is in the attachment, the fileee app triggers automatically and you can place the document in the box.
