Use Scan2Mail with fileeee

If you use fileee and the fileeeBox, this is no reason to throw away your scanner. Many new scanners or multifunction devices have a scan-to-mail (Scan2Mail) function where you can set up one or more mail addresses. Your scanner then sends the scans to these addresses automatically. Of course, you can have the scans sent directly to your fileee account. The best way to do this is to use your personal fileee email address.

Upload and tag documents

If you have set up your personal fileee email address via the Scan2Mail function of your scanner, all scans are automatically imported into your fileee account. You can also tag attachments directly via the subject of the email. For example, if you write #Tax in the subject, the tag Tax will be added to the document. This only works with tags that you have already created in the fileee app.

Assign documents to a fileeeBox

A high volume of scans is of course much easier to manage with a scanner than with a smartphone. Nevertheless, you do not have to do without the archiving advantage of the fileeeBox. Here, too, the assignment works via the subject of the email. With the term @box1, the document is automatically assigned to your first box. With some scanners, you can also preconfigure the subject of the emails so that your tags and your box are automatically selected.

Automatically forward files uploaded to Dropbox to your fileee account 

You can automatically add all documents uploaded to a specific Dropbox folder to your fileee account using your personal fileee email address.The following is a step by step guide on how to do this using a service like Zapier:

• Go to zapier.com and create a free account 
• Once you are logged in, navigate to your "Dashboard" and connect the "Dropbox" application to "Email by Zapier". 
• Select the actions "New File in Folder" and "Send Outbound Email" and click on the "Try it" button. (Try it)

Set up Dropbox

• Add your Dropbox account and click on Continue
• Specify the folder from which you want to export the files to your fileee account and click "Continue".  
• Now you can test your trigger by inserting a file into the specified folder and starting the test. (Test trigger) If everything is correct, you should see your added file here. Click on "Continue". 

Set up email from Zapier

• The event "Send Outbound Email" should be selected by default. If not, select it and click "Continue". 
• Here you will see a list of text fields for customising the outgoing email. We will only cover the essential fields for using the fileee Scan2Mail function. Of course, you can also add more information in the other fields.
• To: You should enter your personal fileee email address here.
• Subject: Here you can insert tags and / or assign the files to a specific fileeeBox.
• Body (content): Here you have to insert a text. This text is used as content for the e-mail, but has no influence on the Scan2Mail function.
• Attachment: Here you must select "File", as the added file should be forwarded to your Dropbox folder.
• Click on "Continue
• Now you can either click on "Test & Continue" to receive a first email from Zapier or on "Skip test".
• The last step is to activate the so-called "Zap" by clicking on "Turn on Zap" and you are done. Well done!

Please note that it may take a few minutes for the email to be forwarded. So do not be irritated if you test the new behaviour and do not receive an email immediately.
