Once again exchanging without a receipt

Always problems with lost bills

Christmas is over and every year I face the same problem. The Christmas shopping stress is followed by the exchange stress. The camera from the electronics store no longer works as it should after a few months and the girlfriend doesn't like the shoes from Zalando. There's only one thing that helps: exchanging. In the process, I've noticed how I'm gradually losing track of my invoices and receipts. And that's mainly because they reach me in many different ways.

  • Enclosed on paper with the online retailer's package (e.g. Amazon, Zalando).
  • As pdf file by e-mail (e.g. Thalia, amiando)
  • As HTML order confirmation by e-mail (e.g. Ebay)
  • Quite classically as a receipt at the checkout (e.g. Saturn)

Before exchanging, I often had the problem of finding the right receipt. And exchanging without a receipt can be a very annoying affair. Or I exceeded an important warranty period by a few days because I hadn't written it down properly. So I decided to bring order to my invoice chaos ....... All important documents should be archived in one place. But how? In principle, I have two options:

  1. I print out all digital invoices and file them in folders.
  2. I scan the documents on paper and arrange them digitally.

Neither solution is really satisfactory for me. Printing costs time and money, and in the end I have a thick file in front of me in which I spend minutes looking for the right documents each time. And as a student, I want to be as mobile as possible and have the documents where I need them.So I bought an expensive scanner, scanned the invoices, saved them on my computer and sorted them into appropriate folders. I use Dropbox to access my files from other devices as well, so I can be mobile. This has definitely been a relief, but I still spend too much time gathering all the documents from the different sources. And no one reminds me of my expiring warranty either. What I need is a programme with which I can

  • collect my invoices and receipts without much effort, regardless of whether I receive them by e-mail, already have them on my hard drive or whether they are on paper on my desk.
  • find documents within a few seconds, even if I no longer know the exact file name
  • be reminded of important deadlines
  • can access my data from several (mobile) devices
  • I can rely on the security of my data
  • and ideally use the camera of my smartphone as a scanner to archive invoices and receipts directly after the purchase.

Many programmes (e.g. Evernote, OneNote) combine several of these points, but unfortunately not all. Therefore, fileee is definitely worth a look. Register now. Don't want to miss any more news? Then simply sign up for our newsletter.

The fact that procedural documentation is part of a GoBD-compliant way of working is nothing new. And yet SMEs in particular still haven't created any.
