Switching off DATEV DMS Classic - what you need to do and what is important

At the end of the year, DATEV discontinued its own DATEV DMS Classic service. All users must switch to another DMS alternative by the deadline of 31.12.23. You can find out the best way to switch and what you need to ensure that your documents and invoices continue to be managed in a legally compliant manner in our blog post.

1. the shutdown of DATEV DMS Classic: What does this mean for users?

DATEV DMS Classic users must be prepared for the service to be switched off at the end of the year; there is no maintenance or service commitment from DATEV. It is therefore important to give sufficient thought to what alternatives are available and how you can most easily move your documents to a new platform without, for example, violating the requirements for audit-proof storage. You shouldn't put off moving your documents for too long, because when you switch off DATEV DMS Classic, you will also have to uninstall the service from your devices.

2. which DATEV DMS Classic alternative is the right one for me?

Which DATEV DMS Classic alternative is right for you depends entirely on what you expect from a document management system. Typically, a good DMS:

  • be a central location for all your documents,
  • be mobile and securely available in the cloud so that you and your team always have all documents to hand,

  1. Choosing the right tariff

  1. Get to know fileee and its functions

Getting to know a new DMS takes time. Even if fileee is particularly intuitive and user-friendly, you should take a few days to familiarize yourself with all the functions. Questions such as:

  • How do I import documents into fileee? Do I connect an email inbox or do I work with forwarding rules to the individual fileee email address?
  • Which structures do I set up in fileee? Which tags are useful and which fileee Spaces (our "digital folders") do I create?
  • Who do I invite to fileee in my team and what rights does the person need?

  1. Export from DATEV DMS Classic and import into fileee

As a first step, you should transfer your old documents to DATEV DMS as a product change archive. Please note that this is not done via the data export, but that you use a conversion wizard. These documents, including links, will then still be available at your accounting workstations. You then only process new incoming documents with fileee.

Nevertheless, you should import relevant documents into fileee so that you always have access to them. Once you have exported your files from DATEV DMS Classic, you can import them into fileee in various ways: if you have saved the documents locally on your computer, you can simply import them via the web application. If you have a large number of documents, the analysis may take some time. You can also import documents by email. You could also use external cloud services such as OneDrive or Dropbox, but please note that sensitive data will end up on foreign servers. The fileee servers are hosted in Germany - your data is therefore secure and subject to German data protection.

In your first month with fileee, you have a certain number of start documents at your disposal, depending on your tariff. For example, this is 2,500 start documents in the PREMIUM plan and 5,000 start documents in the PROFESSIONAL plan.

If your starting documents are not sufficient, you can book additional documents at any time.

4. document management with fileee: the advantages at a glance

With the tool, documents can be managed easily and securely in the cloud and are therefore available from anywhere - whether working on the move or remotely. It is possible to share documents with other users and work on them together. It is important that you do not postpone the move from DATEV DMS Classic any longer. Because the 31.12.23 deadline for the shutdown of DATEV DMS Classic is fixed and from 2024 you will no longer have access to your documents stored there.
