fileee's data protection and security principles

When you entrust us with your sensitive documents, you need to be confident that your documents will remain private, that they will be protected and that they will not be misused! We want you to know what we do with your data and how you can influence it. Therefore, the following three principles apply to us:

  1. You have control over your data.
  2. We protect your data.
  3. We handle your data responsibly.


1. you have control over your data

Your files are private and only visible to you. No fileee employee has access to your account. No fileee employee may or can view your documents or the text of your documents. The decision as to whether a third party is allowed to see your documents lies solely with you. You have the possibility to share your documents with us, other persons or companies.

Your data belongs to you! That's why you have as much freedom as possible to decide what we can do with your data. We leave it up to you to decide whether we can store your data and use it to improve our service. Below we explain what data we are talking about and what we want to use it for. If you don't want us to use your data, you can read here how to object to the storage and use of your data. If the fileee app crashes on your computer, we will be informed automatically. We also receive anonymised data about your general usage behaviour in the app. If you do not want this, you can read in the support forum how to turn off error reports and usage statistics in the fileee app.

This information helps us to make our app more user-friendly for you and to improve its stability.

You can easily leave fileee at any time. If you no longer wish to use fileee, you have the option of submitting a deletion request. All your data and documents will then be irrevocably deleted. We will then confirm the deletion of your data and documents in text form.

Of course, you can irrevocably delete individual documents at any time. If our server backups are deleted after 24 hours at the latest, there will be no more backup copies of your deleted documents.

2. we protect your data

Security and data protection is a big issue for us at fileee, because we deal with private documents. The documents you upload to fileee are stored securely on our servers. This means that you can access your documents from any device.

We protect your user data and the sensitive information in your documents with user-specific encryption and encrypted connections of our clients. In addition, we have committed ourselves to strict data protection according to German law and use a German data centre operator. Furthermore, we are constantly checking how we can protect your user data and documents even better. This concerns, for example, our new servers, our data encryption or possible security mechanisms to protect the app from unauthorised access. You can read more about our security measures in the second part of our security series. Here we introduce you to our new encryption technology.

To protect your fileee account from unwanted access, the most important thing is to protect your smartphone or tablet with a password or PIN code. You should also generally avoid helpful settings such as "remember password" or "stay logged in". Of course, you can use a passlock to prevent unauthorised access to the fileee app on iOS devices. We are working on offering you even more security mechanisms in the future. For example, a 2-factor authentication is planned. Login will then take place in two steps and you will need a second identifier in addition to your password.

3. we handle your data responsibly

With fileee we offer you a service that is and remains free for most users. We earn money with the sale of individual products. These can be planned premium or business versions of our app or the scanning service in the future. We do not make money by selling or sharing your data. Nevertheless, we store and use certain data about you. Why do we do this?

We want to improve communication with you. If you send us a message because you have a question or want to point out an error in the app, it helps us to note your contact details and the reason for contact.

We are also constantly working to improve our app and website and make them more user-friendly. To do this, statistics about your usage behaviour and technical information (such as the device on which you install fileee, your IP address, browser type, browser language, date and time of the request and cookies) give us important information. We do this with Google Analytics. This data is anonymised, so that it is no longer possible to identify you in retrospect. In our privacy policy, you can read exactly what data we store and use, and how you can object to the use of this data.

We need some data so that we can create your fileee account. These are, for example, your name and your email address. This is the basis for a user contract. This is because we process your data on your behalf. In order for us to be able to offer our service, you give us permission to do certain things with your documents. You allow us to analyse your documents so that we can display information to you. For the duration of your use of fileee, you allow us to make copies of your uploaded files and documents for a limited period of time for backup purposes. This is for your and our security and to ensure that your documents are not lost. In the course of our live launch, we published our new terms and conditions in July.
